Understanding Your Order Journey

Why do I need to approve a digital proof?

A digital proof is your final chance to confirm that everything looks exactly the way you want before we begin printing. Once your order enters production, changes can't be made, so your approval ensures accuracy and prevents delays, reprints, or unexpected results.

Approving your digital proof allows you to verify:

  • Content – spelling, dates, names, and other critical information
  • Layout – margins, alignment, and placement of design elements
  • Images and colors – resolution, sharpness, and intended appearance
  • Finishing details – page order, folds, and more

Our Prepress team reviews every file before creating your proof, but you know your project best. Approving your proof confirms to us that:

  • The project matches your expectations
  • We have your go-ahead to begin production
  • You understand how the final printed piece will look

Think of your digital proof as a "final check" that protects your order – and helps ensure your prints come out exactly the way you envisioned.

Why do digital proofs have approval deadlines?

Every order moves through a production schedule that includes setup, printing, binding, finishing, packing, and shipping. To meet your selected delivery date, each step of this process must begin on time.

Your digital proof approval deadline ensures that your order stays on schedule. This allows us to:

  • Reserve press and finishing time for your order
  • Keep production on track so your order arrives on time
  • Maintain consistent quality while managing all of Printivity's jobs each day

Are there other deadlines I should be aware of?

To maintain our production schedules, any time you are required to take action on an order, you will be provided with a deadline. This could include:

  • Making payment on an order
  • Providing a file
  • Answering a question if we run into an obstacle with your order

What happens if I miss a deadline?

If the deadline passes before you take the necessary action, your order cannot begin production as originally scheduled. The order can still move forward! But first, you'll have a couple options for how to adjust your schedule:

Adjust your delivery date for no extra cost

  • Your pricing stays the same
  • Your delivery date shifts later
  • You'll be able to take the necessary action (approving a proof, making payment, etc) once the dates are updated
  • Ideal if you have a flexible timeline

Expedite your order to keep your current delivery date

  • If you still need the original delivery date, you can choose to pay a fee to expedite production and shipping
  • Your delivery date stays the same
  • Your price increases
  • You'll be able to take the necessary action (approving a proof, making payment, etc) once payment is made
  • Ideal if you have a critical deadline

Once you've decided how to adjust your schedule, you will be able to take the necessary action to move your order forward.

How do I reject my digital proof?

If something in your proof doesn't look the way you expected, you can reject it and make changes before your order moves into production. Rejecting your proof pauses your order so you have time to revise and upload a new file (or request help from our team.)

To reject your digital proof:

  1. Reject the specific File Concerns in your digital proof that cause concern. This helps us determine exactly which file requires revision, especially if you have multiple line items.
  2. Add a brief comment with the rejected file concerns and let us know what needs to be changed, or what you're concerned about. Examples:
    • "Text looks too close to the trim line"
    • "Image is blurry – uploading a higher-quality version"
  3. Confirm your rejection at the bottom of the digital proof page
  4. From here, you'll be led to update your order timeline and submit revised files

What happens if I reject my digital proof?

If you review your proof and decide it needs changes, you can reject the digital proof. Doing so pauses your order because we cannot begin production until:

  • The necessary revisions are made
  • You approve a new digital proof

Just like with missed deadlines, new production time must be scheduled for your order. The order can still move forward! But first, you'll have a couple options for how to adjust your schedule:

  • You can select a new timeline that gives us enough production time based on when you're submitting a revised file

  • Ideal if you have a flexible timeline

Expedite your order to keep your current delivery date

  • Your delivery date stays the same
  • Your price increases
  • Ideal if you have a critical deadline

Once you've decided how to adjust your schedule, you'll be able to submit a revised file for your order.

How can I make changes to my design?

Once you reject your proof and update your dates (or keep your dates when expediting), you will be prompted to upload revised files. You have a few options depending on what needs to be changed:

  • Make your own revisions and upload new files. If you're comfortable editing your own design, you can update the file on your end and upload a new version. Your new file will go directly to our Prepress team to create a new digital proof.
  • Reach out to Customer Service for help with minor adjustments. If you need help identifying the issue or need some guidance on what changes to make to your design, our Customer Service team can help discuss the next steps.
  • Use Printivity's Design Services for professional help. If you prefer to have a designer make updates or rebuild part of your file, our Design Services team can help. We'll work with you on revisions and provide updated files for review. Start by reaching out to our Customer Service team for next steps.

Once your revised files are submitted (either by you or our team), we'll create a new digital proof for your review.
